ADMIN ASSISTANT - CONFERENCE MANAGEMENT

Position Overview:
The primary responsibility of the Administrative Assistant – Conference Management is to interpret the needs of the guests and ensure that these needs are met in an aggressive, positive manner; and to ensure that convention secretary assignments are completed in a timely and thorough manner as directed by the Catering Office Manager and Conference Managers. All duties are to be performed in accordance with departmental and The Venetian Resort’s policies, practices, and procedures.
Essential Duties & Responsibilities:
- Creates and maintains files for definite groups.
- Generates and distributes convention resume within established timeframes.
- Acts as team leader for designated support staff.
- Delegates responsibilities to other support staff.
- Maintains Banquet Event Orders with regard to changes, guarantees, etc.
- Generates memos, letters and all written correspondence.
- Generates department and property daily/weekly reports.
- Answers telephone, takes messages, schedules appointments, and uses fax and copy machine.
- Must be able to touch and handle supplies in a safe and non-hazardous manner, maintaining proper hygiene, cleanliness, and disposal methods.
- Coordinate and expedite the flow of work and materials within or between departments according to established company guidelines.
- Establish workloads, complete tasks, and review results.

- Monitor the organization's potential financial risk of projects assigned; compute, catalog, and record numerical data to keep financial records complete.

- Exercise discretion and judgment based on available information related to projects assigned.

Minimum Qualifications:
- 18 years of age.
- Proof of authorization/eligibility to work in the United States.
- High school Diploma or equivalent.
- 2+ years secretarial experience in the catering / conference management industry. Prefer three years secretarial experience in catering / conference management in an EBMS driven property.
- Minimum typing speed 50 wpm. Proficient with Microsoft Word, Excel, and Windows 95 or higher.
- Strong interpersonal skills with the ability to communicate effectively with guests and other Team Members of different backgrounds and levels of experience.
- Maintain a professional, neat and well-groomed appearance adhering to Company appearance standards.
- Maintain consistent adherence to the Venetian and Palazzo Unmatched Guest Service Standards.
- Must be able to work varied shifts, including nights, weekends and holidays
Physical Requirements:
Must be able to:
- Lift or carry 50 pounds, unassisted, in the performance of specific tasks, as assigned.
- Physically access all areas of the property and drive areas with or without a reasonable accommodation.
- Maintain composure under pressure and consistently meet deadlines with internal and external customers and contacts.
- Ability to interact appropriately and effectively with guests, management, other team members, and outside contacts.
- Ability for prolonged periods of time to walk, stand, stretch, bend and kneel.
- Work in a fast-paced and busy environment.
- Work indoors and be exposed to various environmental factors such as, but not limited to, CRT, noise, dust, and cigarette smoke.
