COORDINATOR - MEETING SERVICES

Position Overview:
The primary responsibility of the Coordinator – Meeting Services is to provide support as it relates to the needs of the Meeting Services operations in office and administrative duties.
All duties are to be performed in accordance with departmental and The Venetian Resort’s policies, practices, and procedures.
Essential Duties & Responsibilities:
- Maintain and update Event Order Book including filing of new Banquet Event Orders (BEO’s) and Hospitality Event Orders (HEO’s) and recording changes, cancellations, or additions received via daily change log, email communications, and/or BEO review meetings.
- Answer, log, and dispatch via email, phone, or radio all calls received through Meeting Services Hotline and/or Meeting Services email distribution to management team and supporting Operations teams such as Banquet Services, Catering & Conference Management, Facilities Operations, Group Hospitality Services, Stewarding, and Venetian Expo Operations.
- Submit HotSOS work orders for meeting room lighting and temperature adjustment requests and reports of damages within the Convention Center.
- Generate and distribute daily Lighting & Refresh Report.
- Update, maintain, and distribute daily Lock, Unlock, & DNE Meeting Room Schedule
- Distribute daily Meeting Services Floor Assignments
- Manage linen and rental equipment deliveries including drop-off, pick-up, order accuracy, and filing of invoices.
- Maintain a log of department’s equipment usage and equipment loan forms.
- Monitor operating supplies and maintenance of office equipment, submit restocking and maintenance orders.
Additional Duties & Responsibilities:
- Coordinate the arrival and departure of Temporary Staff, assist in the accurate completion of time sheets, and communicate procedures and department expectations.
- Generate signage for events held in the Convention Center.
- Attend daily BEO review meetings.
- Build strong professional relationships with all operational departments who support the successful execution of MICE events.
- Safety is an essential function of this job.

Minimum Qualifications:
- 18 years of age.
- Proof of authorization/eligibility to work in the United States.
- High school diploma or equivalent.
- Must be able to obtain and maintain any certification or license, as required by law or policy.
- 2 years prior experience in conventions or hotel hospitality preferred.
- Demonstrated experience in administrative support in the MICE industry.
- Working knowledge of Microsoft Office, HotSOS, and other computer-based applications.
- Previous experience working with EBMS is preferred but not required.
- Ability to communicate clearly and effectively in English, both in spoken and written form.
- Strong interpersonal skills with the ability to communicate effectively with guests and other Team Members of different backgrounds and levels of experience.
- Must be able to work varied shifts, including nights, weekends, and holidays.
Physical Requirements:
Must be able to:
- Lift or carry 20 pounds, unassisted, in the performance of specific tasks, as assigned.
- Physically access all areas of the property and drive areas with or without a reasonable accommodation.
- Maintain composure under pressure and consistently meet deadlines with internal and external customers and contacts.
- Ability to interact appropriately and effectively with guests, management, other team members, and outside contacts.
- Ability for prolonged periods of time to walk, stand, stretch, bend, and kneel.
- Work in a fast-paced and busy environment.
- Work indoors and be exposed to various environmental factors such as, but not limited to, CRT, noise, dust, and cigarette smoke.
